Pianola provides a valuable targeted messaging tool - it allows an event convener or similar authorized person to send an email message to a targeted group of members and others on our Pianola database. It also allows for the printing and posting of mail messages for those without an email address.
The club wants authorized event conveners and others with a suitable communication need to use this tool on a self-service basis. Authorization involves giving your Pianola user id access to this functionality.
This article provides channel guidelines that should be followed and endeavors to provide some guidance and support to less experienced users. You should start with the Pianola support for how to send a message.
Pianola messaging guidelines:
- Plan your Pianola messages carefully and don't overuse this communication channel - we need recipients to read these emails with interest rather than see them as spam.
- When in doubt about sending a message, don't. Sleep on it and/or send the review draft message to the Pianola channel owner for a second opinion.
- Choose your recipients carefully and avoid broadcasts to all members unless this really represents your audience target - see the Pianola support information on simple groups and smart groups that help you target your messages.
- Choose a good message title and include it both in the message Subject field and also at the top of your message Content (either in bold or UPPER CASE).
- Use the Drop down option to change the Reply-To address to your email address - so that any replies come to you and don't get lost going to the general club inquiries address.
- Make it obvious in the title or first paragraph to whom a group message is being sent to - this can help recipients who are members of many groups better understand the message and its context.
- Conclude the message content with your name (and if appropriate your phone number) - this also helps recipients better understand the message and its context.
